1. Who We Are

This privacy policy applies to Smart Energy Switch, a trading name of Smart Energy Group Ltd (company 09806625), with registered office at Suite 6, Brecon House, William Brown Close, Llantarnam Industrial Park, Cwmbran, Wales NP44 3AB. We are the data controller for the information described here.

We are committed to protecting your personal data and complying with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

2. What Data We Collect

When you use our business energy switching service, we may collect:

  • Contact information: Name, email address, phone number
  • Business information: Business name, business type, postcode, address
  • Energy information: Current supplier, contract details, consumption data, meter numbers, and any bill you upload
  • Technical data: IP address, browser type, pages visited
  • Your consent record: the exact wording you agreed to, and the date and time you agreed to it

3. How We Use Your Data

We use your personal data to:

  • Produce your estimated savings report
  • Contact you about that report and your enquiry, by phone, SMS, WhatsApp and email
  • Obtain quotes from energy suppliers and facilitate a switch if you choose to proceed
  • Send contract renewal reminders
  • Measure the effectiveness of our advertising
  • Improve our website and services, and comply with legal obligations

4. Legal Basis for Processing

  • Consent: for the marketing messages described in section 6, and for producing your report from the details you submit
  • Legitimate interest: to research the business you told us about, to run and secure the website, and to measure our advertising
  • Contract: to fulfil our obligations if you ask us to arrange a switch

5. Who We Share Your Data With

We never sell your data. We use the following processors and third parties, each of which only receives what it needs to do its job:

  • Energy suppliers and their brokers — your business details, site address and consumption data, so they can quote for your supply. This only happens when you ask us to obtain quotes.
  • Supabase — our database host. Your enquiry, your report and any bill you upload are stored there.
  • Netlify — hosts this website and processes your requests to it, including your IP address.
  • Twilio (including WhatsApp) — sends the SMS and WhatsApp messages we have your consent to send, and receives your replies. Your phone number and the message content pass through Twilio, and through WhatsApp (Meta) for WhatsApp messages.
  • Slack — our internal team channel. A short alert containing your business name, business type and contact details is posted there so an adviser can pick your enquiry up.
  • Meta (the Meta Pixel) — when you submit the quote form, your name, email address, phone number and postcode are converted into irreversible hashes in your browser and sent to Meta so it can match your enquiry to an advert you may have seen. Meta is a separate controller for what it does with that data. You can stop this by blocking third-party scripts; see our cookie policy.
  • Google Analytics — when enabled, receives anonymous usage data about pages viewed. It does not receive your name, email or phone number.

We also look your business up in public and commercial sources to build your report. These lookups are about the business, not about you personally, and they send only the business name, address or postcode you gave us:

  • Google Places — to confirm the trading address, opening hours and business category
  • Companies House — to confirm the registered entity, where one exists
  • Food Standards Agency — to confirm the premises type for food businesses

6. Marketing Messages and How to Opt Out

If you tick the consent box on our quote form, you are agreeing that we may send you your personalised energy report and follow-up messages about it by SMS, WhatsApp and email, and that we may call you about your business energy costs. We keep the exact wording you agreed to alongside your record.

You can opt out at any time, and it costs you nothing. Reply STOP to any SMS or WhatsApp message from us, or email info@smartenergyhomes.co.uk asking us to stop. We will action it and will not need a reason. Opting out of marketing does not affect a switch already in progress, and we will still send you anything we are legally required to.

You can also register with the Corporate Telephone Preference Service to stop unsolicited marketing calls to your business line.

7. Data Retention

  • Enquiries and reports (leads): kept for 24 months from your last contact with us, so we can pick up a conversation when your contract comes up for renewal. After that they are deleted or anonymised.
  • Bills you upload: kept for 24 months, then deleted.
  • Consent records: kept for 6 years, because we may need to demonstrate that we had your permission to contact you.
  • Contracts we arrange: kept for 6 years after the contract ends, to meet our legal and accounting obligations.

You can ask us to delete your data sooner at any time.

8. Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Request erasure of your data
  • Restrict or object to processing, including profiling for marketing
  • Data portability
  • Withdraw consent at any time

9. Cookies and Tracking

There is no cookie consent banner on this site. Our cookie policy lists exactly what runs, who sets it and how to switch it off in your browser.
